Clearances and Volunteer Application

Volunteer Update: The District’s new Volunteer Registration Portal is now live and parents/guardians/families may register to volunteer for this school year. 

The District utilizes a new volunteer registration process within School Gate Guardian, our current visitor management system, to streamline the registration process and efficiently track, maintain, and check in volunteers throughout the school year. With this online registration process, there is no longer a requirement to complete paper packets or drop off paperwork at the District Office.

Prospective volunteers can check their status in the portal after uploading necessary clearances and will receive an email notification when they are approved. Please allow up to one week for processing. Volunteers will receive a self-expiring printed volunteer sticker during each visit upon check-in at the office.

Thank you for your interest in volunteering in the Central York School District. As a school district, we are required to obtain specific clearances and information from prospective volunteers to allow access to our schools. Please review the information below.

Our volunteers play a vital role in our educational, athletic, and extra-curricular experiences throughout all parts of the year!

Clearances

Pennsylvania State law requires all District volunteers to provide clearances before approval to volunteer. This must be completed every five years. Your clearances must be less than five years old to be accepted. The clearances are free to volunteers.
 
All prospective volunteers must obtain a PA Child Abuse History Clearance, the PA State Police Criminal Record Check, and the FBI Federal Criminal History Background Check OR Volunteer Verification Form based on the following:
  • If you have lived in PA for less than ten years, you must complete the FBI Criminal Background Check, which includes a small fee.
  • If you have lived in PA for ten or more years, please complete the Volunteer Verification form.

The District recommends that prospective volunteers complete their clearances online rather than by mail, as results are typically faster.

Step 3: ADDITIONAL REQUIREMENTS FOR VOLUNTEERS WHO SERVE MORE THAN TEN(10) HOURS PER WEEK

A Tuberculosis Examination - Please call the Human Resources Department at 717-846-6789 ext. 1215 to discuss the possible need for a TB screening test.

EMPLOYEE Clearance Instructions

Volunteer Badge

Volunteers must sign in at the main office of the school building they are volunteering at.

Volunteers will be issued a temporary printed badge through the District's School Gate Guardian Visitor Management System.

Volunteer coach's identification badges will be sent to the Athletic Office after approval. 

Visitor/Volunteer badges must be worn at all times while volunteering.

Volunteer Approval, Expiration, and Renewal

Once your online application has been reviewed, you will receive an email notification informing you of your approval. Volunteer approval is only valid for the school year in which the volunteer applied. Please allow seven days for processing.
 
All Athletic Volunteers will require School Board approval before serving as a volunteer for a sport.  If you wish to serve as an Athletic Volunteer, please contact our Athletic Director, Dan Hagerman, to begin the Athletic Volunteer registration process.
 
Volunteers must renew their volunteer application every school year. To renew your volunteer status, you must complete the online volunteer application. For the 2024/2025 school year, all volunteers must resubmit their clearances when completing the new online application.
